Personal Assistant & Administrative Supervisor

Our client is looking for a Personal Assistant & Administrative Supervisor

The successful candidate will be responsible for:

Main responsibilities:

Administrative Supervisor
  • Supervise Receptionist and Office Attendant
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations
  • Manage travel arrangements for employees and overseas visitors (air tickets, hotel accommodation, invitation letters, visa, certificates, vaccination etc.)
  • Manage and establish contracts that offer the most efficient and cost-effective approach to acquire the goods/services required
  • Manage/Coordinate filing of all contracts related to the company (both agency and Group) for Mauritius, included renewal management with respective Manager
  • Manage and renew license as and when (port, company, trade etc.)
  • Manage renewal of insurance (general, medical, motor etc.)
  • Monitor inventory of office supplies
  • Responsible for internal and external communication
  • Oversee facilities services and maintenance activities
  • Attend to issues regarding medical insurance and follow up with broker
  • Monitor attendance, keeping records and prepare monthly reporting
  • Record leaves and provide monthly status report
  • Keep training records and prepare monthly report giving detailed information regarding HRDC refund
  • Assist in recruitment (posting of vacancies on recruitment websites, processing candidates and scheduling interviews etc.)
  • Prepare and assist in onboarding of new employees
  • Manage Company’s vehicles (road tax, lease, reporting accident)
  • Organise and supervise other office activities (recycling, renovation, event planning etc.)
  • Manage filing of all Administration related documents
  • Responsible for archiving
  • Implement, review, optimise procedures related to administration’s scope 
Personal Assistant
  • Act as secretary to meeting and prepare minutes accordingly
  • Prepare all reports as requested by General Manager
  • Handle/Manage General Manager Planning
  • Liaison for signature of documents
  • Set, review and update procedures Systems in line with changing requirements
  • Ensure Compliance to Group, Procedures, Policies

Additional general areas
  • Follow Health and Safety Policies and Procedures as well as company’s Quality Policies and Procedures
  • Drive Administration within Indian Ocean Cluster through best practice  
  • Act as entry point for External Contact within Indian Ocean Cluster
  • Perform any other cognate duties and tasks entrusted to you by the Management.
